We’re seeking a highly organized, detail-oriented professional to support Stella’s operations in claims management, safety compliance, HR administration, and office coordination. This is a key role in driving our company’s commitment to compliance, safety, and operational excellence.
Report WC (Workers’ Compensation), AL (Auto Liability), and GL (General Liability) claims to Stella’s insurance carrier.
Prepare wage statements for WC claims.
Work with the Corporate Safety Director and Regional Safety Managers to manage claims.
Handle requests from claim adjusters and attorneys.
Maintain accurate claim files and logs.
Follow up on payments, settlements, and documentation.
Oversee registration, titling, and licensing of company vehicles/equipment.
Ensure compliance with state and federal regulations.
Track and renew all required documents and licenses.
Liaise with government agencies and vendors.
Report and track workplace incidents and OSHA compliance.
Maintain OSHA 300 logs and distribute annual reports.
Manage DOT random drug testing (quarterly).
Monitor monthly man-hour reports via SMS360.
Keep Driver Qualification Files (SPARC) updated.
Assist with safety audits, policy updates, and corrective actions.
Collaborate on Alert Media messaging with senior managers.
Manage HR tools: intranet, HR software, ERP platform.
Maintain personnel files in compliance with legal standards.
Track employee training, garnishments, and unemployment claims.
Assist with onboarding/offboarding, communications, and employee engagement.
Support PuzzleHR partnership and HR reporting.
Maintain supply inventory and coordinate procurement.
Serve as the point of contact for facilities and maintenance.
Plan and coordinate events, meetings, and employee activities.
Lead the administrative team for efficiency and service quality.
Oversee calendar management, filing systems, and travel logistics.
High integrity and confidentiality with sensitive information.
Clear, professional communication and people skills.
Strong organization, time management, and tech proficiency (Microsoft Office, databases).
Solid understanding of employment laws and safety regulations.
Team player with self-driven work ethic.
High school diploma required; bachelor’s degree preferred.
5+ years in administrative roles (HR, safety, claims experience preferred).
Familiarity with claims processing, fleet compliance, and regulatory standards.
Standard office hours: occasional extended hours as needed.
Regular use of computers, phones, and office equipment.
Must be able to sit for extended periods and perform repetitive tasks.
