We are seeking a highly organized and detail-oriented HR Claims & Compliance Administrator to support key business operations across claims management, equipment licensing, workplace safety reporting, human resources, and general office administration. This dynamic role requires someone who can maintain confidentiality, handle multiple priorities, and contribute to a culture of compliance, safety, and operational efficiency.
Manage and process workplace, vehicle, and property damage claims.
Liaise with insurance providers, adjusters, and internal teams to ensure timely resolution.
Maintain accurate and up-to-date claim records and documentation.
Conduct incident investigations and prepare detailed reports.
Oversee registration, titling, and licensing of company vehicles and equipment.
Ensure compliance with all federal and state regulations.
Maintain accurate tracking of renewals and documentation.
Coordinate with government agencies, vendors, and internal departments.
Document and report workplace safety incidents and compliance issues.
Support OSHA reporting, audits, and tracking of corrective actions.
Maintain training and certification records for employees.
Assist with safety policy development and enforcement.
Post and track OSHA-required data in partnership with site managers.
Manage HR systems including the company intranet, HR software, and ERP platform.
Maintain compliance with personnel file documentation and legal requirements.
Track and manage employee training, garnishments, and unemployment claims.
Assist with employee communication, surveys, newsletters, and engagement programs.
Coordinate with Stella’s HR services provider, PuzzleHR, on ongoing initiatives.
Maintain office supply inventory and oversee procurement.
Serve as primary contact for facilities and maintenance coordination.
Lead administrative staff in ensuring quality and efficiency.
Plan company events, meetings, and employee activities.
Manage room scheduling, calendar coordination, and office policies.
Organize and maintain filing systems, assist with travel and expense processing.
Exceptional confidentiality and discretion with sensitive information.
Strong verbal and written communication skills.
Excellent interpersonal, training, and coaching abilities.
Proficient in Microsoft Office Suite, databases, and reporting tools.
Knowledge of employment law, safety regulations, and compliance practices.
Self-driven and disciplined, with strong organizational skills.
Ability to work collaboratively across departments and teams.
High school diploma or equivalent required; bachelor’s degree in HR, Business Admin, or related field preferred.
5+ years in an administrative role; experience in HR, safety, or claims management preferred.
Familiarity with regulatory standards in claims processing, safety compliance, and fleet management.
Office-based role with standard business hours; occasional extended hours as needed.
Frequent use of computers, phones, and office equipment.
Ability to sit for extended periods and perform repetitive tasks.
Coordination of eye, hand, and finger movements for typing and equipment handling.
